Description

Our client, a leading pharmaceutical company in Sligo, are looking to hire a Site Engineering Administrator on a 12 month contract initially. Responsibilities: Provide site administrative support, particularly to the Engineering department. Raise purchase requisition requests, tracking purchase orders, ensuring proof of delivery of goods or services is documented and filed to enable invoice processing and payment. Liaise with Finance for month end accruals for completed work which is not yet invoiced. Where necessary assist in the development of templates and filing systems. Assist with processing updates to project documentation (procedures etc.) Maintain trackers where required. Establish and maintain the engineering computerised maintenance management system (CMMS. Liaise with vendors and service providers for engineering site visits and deliveries. General reception duties; greet and assist visitors, ensure that they receive required induction, receiving and distributing mail. Screening, answering and forwarding telephone calls. Ensuring the reception area is kept neat and tidy. Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies. Provide logistics support for meetings by setting up venue, organising room layout, arranging lunch, booking accommodation, dealing with the invitees. Training coordination and support for the site. Monitoring engineering spares inventory, office stock and ordering supplies as necessary. Requirements: Minimum 5 years administration experience is essential, with GMP exposure particularly in an engineering department being a distinct advantage. Advanced knowledge of Word, Excel, PowerPoint and Outlook. Proficient in written and spoken English. Experience in computerised maintenance management systems (CMMS) would be a distinct advantage.
